The Events Assistant is responsible for supporting the fundraising event activity undertaken by ShelterBox.

Main role and responsibilites

Responsible for supporting fundraising event activity undertaken by ShelterBox, supporting the growth of the fundraising events portfolio to drive engagement opportunities, enhance supporter reach and generate increased income from ShelterBox activity, to include challenge events and festivals.

Working independently to shape and progress a small number of projects as well as providing essential support to key events in the ShelterBox events portfolio.  This role provides administrative and onsite event support, ensuring the timely delivery of communications, plans and processes, effectively communicating and liaising with staff, volunteers, donors and fundraisers whilst managing competing priorities.

Duties will include but not be limited to:

  • Review and implement a communication journey, working closely with our Supporter Care and Communication Team, which supports all event-related fundraisers ensuring they receive a positive and engaging experience which encourages continued acts of support.
  • Support the Events Officer and Communication Team on the marketing and promotion of our events through a targeted, multi-channel approach which inspires and engages new and existing supporters.  Support on producing copy and content that ensures brand and messaging are at the heart of everything we do.
  • Logistics and planning support for key events
  • Key support with the development and roll out of event engagement plans, generating proposals for onsite festival and challenge event presence, helping to achieve event objectives.
  • Support the process to recruit, train and manage a dedicated team of ShelterBox event volunteers to enable the delivery of ShelterBox events.
  • Coordinating ShelterBox event equipment to support onsite presence of the organisation to maximise fundraising potential, ensuring optimum quantities are available for events where necessary.
  • Ongoing supplier research and liaison, building relationships and coordinating creation of marketing collateral, event fundraising materials and event kit.
  • Attending ShelterBox challenge and festival events to support Events Officer in delivering smooth execution and delivery, representing the work of ShelterBox at events to members of the public and supporters.
  • Updating and managing records on the ShelterBox CMS, accurately logging communications, activity and allocating codes where relevant.
  • Leading on the collation of case studies and stories from event participants for use in future marketing opportunities.
  • Contribute new ideas and continually seek to improve processes to drive efficiency and increase income.  Identifying opportunity for growth around the events programme.
  • Participate in the day to day work of the organisation – such as reporting, attending team meetings as required, and taking a flexible approach.
  • Deliver high quality customer service to internal and external stakeholders (staff, volunteers, donors, suppliers etc.) in an efficient, effective and professional manner.
  • Any other duties as deemed necessary to support the Community Team.
