Over the past 12 months Ultramed’s business has begun to really take off so they are looking for an exceptional, self-motivated individual to be their Business Services Assistant.

Working closely with the Operations Lead, you will be part of a small team who will steer the business into and through its next exciting stages.  As well as having outstanding communication skills and a very positive attitude, you will have tons of initiative, excellent computer skills, and a head for efficient systems and processes.

Main duties and responsibilities:

To undertake and be responsible for a wide range of day to day administrative duties including maintaining customer records and acting as customer liaison, in line with Ultramed’s strategic and corporate objectives. More specifically:

  • Provide administrative support to the Ultramed office including collecting and distributing post, filing, managing emails and answering telephone calls
  • Undertake day to day communication with customers including reviewing operations and resolving issues
  • Maintaining and updating the Customer Relations Management (CRM) system and reporting
  • Validate invoices and enter into accounting system
  • Arrange meetings and conferences including booking travel and accommodation as necessary
  • Set up webinar demonstrations including agreeing timings and ensuring connections in place
  • Monitor use of UltraPrep products and prepare reports
  • Liaise with suppliers
  • Attend staff meetings, prepare and distribute agendas, take minutes
  • Maintain positive and proactive relationships with staff, stakeholders and customers
  • Liaise with key personnel as required
  • To be fully committed to the whole-team approach to Company business

Required Personal skills, qualifications and competencies:

Essential Requirements:

  • Educated to A level or equivalent experience
  • Excellent IT skills and willingness to learn new programs
  • Excellent customer relationship skills in particular on the phone and via email
  • Highly organised and methodical, able to maintain a wide and varied workload, keeping on top of deadlines and timelines and adhering to company policies and procedures
  • Ability to prioritise own workload in correlation with the work allocation and priorities of the whole team
  • Flexible approach to changing priorities and tasks required of the role including willingness to undertake further training and development as required and as the company expands
  • Excellent written and verbal communication skills with internal and external partners
  • Ability to use initiative to problem solve to work autonomously and as part of a team
  • Confident and articulate in in presenting information, material and personal views

Desirable Requirements:

  • Willing to cross cover roles with/for colleagues to ensure required outcomes are achieved
  • Previous experience of administrative responsibilities requiring initiative and autonomy
  • Experience of working as a financial controller or similar
  • Experience of accounting software and online bookkeeping
  • Work experience in the healthcare sector

Ultramed is a small, developing healthcare technology company, based in Penryn, Cornwall with a growing number of contracts across the UK. Ultramed’s products are a range of cloud based health related assessments used by healthcare provider organisations.

People (patients) complete required assessments online and then share their information with relevant healthcare provider organisations. This is an innovative approach to collating, presenting and transferring health related, personal information and it is an exciting time to be involved in the field of healthcare information digitalisation.

  • 40 hours per week, Monday to Friday, flexi time arrangements around core hours of 1000-1600.
  • Opportunity to negotiate weekly hours of 35-40 hours per week, pro rata.
