Over the past 12 months Ultramed’s business has begun to take off & they are subsequently looking for one, potentially two, exceptional, self-motivated individuals to be their Business Administrators.

Job Description

Working closely with the Operations Manager and Product Development Lead, you will be part of a small tight-knit team who steer the business into and through the next exciting stages of growth.  As well as having outstanding communication skills and a positive attitude, you will have tons of initiative, excellent computer skills, and a head for efficient systems and processes.

Main duties and responsibilities:

To undertake and be responsible for a wide range of day-to-day administrative duties including maintaining customer records, acting as customer/end-user liaison and booking diaries in line with Ultramed’s strategic and corporate objectives. More specifically:

  • Provide administrative support to the Ultramed office including collecting and distributing post, filing, managing emails and answering telephone calls
  • Undertake day-to-day communication with end account users to resolve any issues
  • Maintaining and updating the Customer Relations Management (CRM) system and reporting
  • Validate invoices and enter into accounting system
  • Arrange meetings and conferences including booking travel and accommodation as necessary
  • Set up webinar demonstrations including agreeing timings and ensuring connections in place
  • Liaise with suppliers
  • Attend staff meetings, prepare and distribute agendas, take minutes
  • Maintain positive and proactive relationships with staff, stakeholders and customers
  • Liaise with key personnel as required
  • To be fully committed to the whole-team approach to Company business

Required Personal skills, qualifications and competencies:

Essential Requirements:

  • Educated to degree level or equivalent
  • Excellent IT skills and willingness to learn new programs
  • Excellent written and verbal communication skills with internal and external partners, particularly on the phone and via email
  • Highly organised and methodical, able to maintain a wide and varied workload, keeping on top of deadlines and timelines and adhering to company policies and procedures
  • Ability to prioritise own workload in line with the work priorities of the team
  • Flexible approach to tasks required of the role including willingness to undertake further training and development as required and as the company expands
  • Ability to use initiative to problem solve
  • Able to work autonomously and as part of a team
  • Confident and articulate in in presenting information, material and personal views

Desirable Requirements:

  • Willing to cross cover roles with/for colleagues to ensure required outcomes are achieved
  • Previous experience of administrative responsibilities requiring initiative and autonomy
  • Experience of working as a financial controller or similar
  • Experience of accounting software and online bookkeeping
  • Work experience in the healthcare sector
  • Full UK driving licence

  • The role of Business Administrator is a permanent, full time position – (including an initial 3 months’ probation period)
  • 40 hours per week, Monday to Friday, flexi time arrangements around core hours of 1000-1600
  • Opportunity to negotiate weekly hours of 35-40 hours per week, pro rata
  • 28 days holiday, plus an extra day for every full year at Ultramed, up to a maximum of 5 extra days

  • Based at the Tremough Innovation Centre, on the Penryn campus of the University of Exeter and Falmouth University, TR10 9TA

Ultramed is a small, rapidly developing healthcare technology company, based in Penryn, Cornwall with a growing number of contracts across the UK. Ultramed’s products are a range of cloud based health related assessments used by healthcare provider organisations.

People (patients) complete required assessments online and share their information with relevant healthcare providers. This is an innovative approach to collating, presenting and transferring health related, personal information and it is an exciting time to be involved in the field of healthcare information digitalisation.
